Planning the runs

Most weddings need three movements: hotels to ceremony, ceremony to reception if the venues differ, and reception back to the hotels late at night. The last one matters most, and it is worth running in two waves, an early departure around 11pm for families and older guests and a final one at closing, rather than forcing everybody onto one bus.

Timing the first run is the fiddly part. Guests should arrive 20 to 30 minutes before the ceremony, so the pickup is set backwards from that with a buffer, and it is normal to build in a second short run for stragglers if guests are spread across several hotels.

Venue access and vehicle choice

Rural wedding venues are the usual constraint. Narrow approach lanes, gravel drives, low arches and limited turning space often rule out a 53-seat coach, and two minibuses become the practical answer. If your venue has hosted coaches before, its events team will know exactly what fits, and we will ask.

Where a coach cannot reach the door, the driver sets down at the nearest safe point. That is fine on a dry afternoon and less fine in heels in the rain, so we plan the shortest workable walk and flag it in advance rather than on the day.

Booking lead times

Wedding transport should be booked when the venue is, not weeks before the day. Saturdays between May and September are the busiest dates in most markets, and regional fleets commit early. Popular destination-wedding locations sell out further ahead still.

As an indicative UK guide, a minibus for the day runs from around 350 to 600 pounds and a coach from around 750 to 1,400, with late-night returns and multiple runs priced into the day rate. Elsewhere we quote in local currency.
