Bus hire quotes often look clean and fixed until the invoice arrives. The gap between the initial figure and the final amount is almost always explained by the same set of extras: overnight accommodation, tolls, waiting time, parking, and charges mentioned in the small print but not emphasised in the quote.
Driver Overnight Accommodation
EU and UK driving regulations require coaches and bus drivers to take a minimum of 11 consecutive hours of rest between daily driving periods. On any trip where the driver cannot reasonably return home and complete this rest before the next day's service, accommodation costs apply. Ask this at the quote stage: "Does this quote include driver overnight accommodation for all nights away?"
Road Tolls and Motorway Charges
- France: Motorway tolls are significant on long routes. Paris to Lyon via the A6 carries toll charges for the full route.
- Germany: The LKW-Maut (heavy vehicle toll) applies to coaches on German motorways.
- Austria: The Austrian vignette and per-km tolls on certain mountain routes.
- Switzerland: The LSVA is a per-km charge on heavy vehicles entering Switzerland.
- Italy: Autostrada tolls are charged at toll booths throughout the country. On a Rome to Florence to Milan tour, these mount up.
Waiting Time Charges
Most operators include a grace period of 30 to 60 minutes beyond the agreed schedule before charging starts. After that, they bill by the hour, usually in minimum 1-hour blocks. The situations where this most commonly catches people out: weddings that run late, airport collections where the flight is delayed, and events that overrun.
Parking and Coach Bay Charges
Central London coach parking can run 10 to 30 pounds per hour near tourist attractions. Barcelona's Port Vell area and central Paris autocar zones both have parking costs. Rome's coach parks near the Vatican and the Colosseum charge per entry and per hour of stay.
Ferry Crossings and the Channel Tunnel
For any trip crossing the English Channel or the Irish Sea, the crossing cost is almost never included in a base coach hire quote. A coach crossing on Eurotunnel Le Shuttle runs to several hundred pounds per direction.
VAT
In the UK, coach hire is standard-rated for VAT at 20%. Check whether the figure in the quote is inclusive or exclusive of VAT before you compare prices across operators.
